Expired IT Accounts: leaving the University

When you leave the University you will no longer have access to the IT facilities because your account will start the expiry process. You should copy any files you wish to keep and forward any important personal emails from your University account to an external account.

Students: extension of your IT account

IDG will not extend your IT account beyond the end date of your university number. If you are staying on at the university beyond the end of your final student year and taking on different responsibilities, you will require a new university card with the appropriate grouping. Please see the university cards section for details of the categories available and how to apply. If you have been granted an academic extension, the Academic Office can arrange a change in your service end date to cover the period.

Staff: IT account access

Once a leaver has been processed in SuccessFactors, their IT account will be automatically locked down on their official leaving date, in line with IDG guidance and standard account management processes.

Requesting Extended IT Account Access

If a member of staff requires IT account access beyond their official leaving date, an Exception Request can be made. These requests should only be made where there is a clear, short-term need, such as closing down outstanding work or supporting an agreed transition.

Extended IT access is not intended to provide ongoing access for individuals who are no longer employed by the University.

A request may be made for up to a maximum of six months by the Head of Department.

How to submit a request

Requests should be submitted to AskHR by the leaver's line manager or Departmental Administrator, attaching written support for the request from the Head of Department (as above).

To allow the team to process your request quickly, please use the following AskHR service categories:

  • Incident category: Request a service/document
  • Service category: Extension/early access to IT account

SuccessFactors will then be updated to reflect the new, agreed IT Access End Date.

Important Note

Extended IT access is not intended to provide ongoing access for individuals who are no longer employed by the University. Where a leaver will retain an association with 桃色视频, departments should make every effort to ensure access is arranged through an appropriate secure route, such as requesting a visitor account, rather than extending an individual's former staff account.

Please note that extended access only applies to the user's:

  • Email account
  • Network access
  • Shared drives

Extended access cannot be granted to:

  • SuccessFactors
  • University cards

Access to other systems may vary. Please check with the relevant system administrator where access to another system is required.
